Terms & Conditions – Arudhya Travels (Chauffeur-Driven Car Rentals)
1. Driver & Vehicle Responsibility A professional, verified driver will be provided with every booking. Customers are not allowed to drive the vehicle under any circumstance. The driver is responsible for vehicle handling and safety during the service period.
2. Duty Hours & Extra Charges Standard duty time is 8 hours / 80 km per day. Extra hours or distance beyond this will be charged as per current rate card (e.g., ₹100/hour or ₹12/ km depending on vehicle type). Night charges apply after 10:00 PM, if applicable.
3. Booking, Advance & Cancellation A minimum 50% advance is required to confirm booking. Remaining amount must be paid before or at the time of pickup via cash, UPI, or online methods. Cancellations made within 24 hours of the trip will be charged 25% of the total fare. Last-minute cancellations (within 6 hours) are non-refundable.
4. Outstation & Toll Charges For outstation trips, the customer must bear toll, parking, and interstate taxes separately. A minimum daily KM limit (e.g., 250 km/day) may apply for long-distance travel.
5. Cleanliness & Conduct Our drivers maintain cleanliness, discipline, and safety standards. Any complaints must be reported immediately during or after the trip. Please avoid smoking or consuming alcohol in the vehicle.
Airport service
1. Booking & Cancellation Policy All bookings must be made at least [X] hours in advance. Cancellations made within 6 hours of scheduled pickup may incur a [50%] cancellation fee. No-shows will be charged the full fare.
2. Waiting Time & Extra Charges A complimentary waiting time of 30 minutes is allowed for domestic flights and 60 minutes for international flights. Additional waiting time will be charged at [X] per 15 minutes.
3. Luggage & Passenger Limits Each passenger is allowed up to [1 suitcase + 1 cabin bag]. Extra luggage must be declared in advance. The vehicle will not be overloaded beyond its seating capacity.
4. Payment Terms 50% advance payment is required to confirm the booking. Remaining amount must be paid before or at the time of pickup via cash, UPI, or online methods.
5. Responsibility & Liability We are not responsible for delays caused by traffic, weather, or flight rescheduling. Passengers are responsible for their personal belongings; the company is not liable for lost or forgotten items.
Hotel booking
1. Booking Confirmation & Payment All hotel bookings require a minimum 50% advance payment to confirm the reservation. Balance payment must be made before check-in or as per agreed terms.
2. Check-in & Check-out Policy Standard check-in time is 12:00 PM and check-out is 11:00 AM (may vary by hotel). Early check-in or late check-out is subject to availability and may incur extra charges.
3. Cancellation & Refund Free cancellation up to 48 hours before check-in. Cancellations within 48 hours may incur up to 1 night’s charge or as per hotel policy. No-show bookings are non-refundable.
4. ID Proof Requirement All guests must present a valid government photo ID (Aadhar card, passport, etc.) at the time of check-in. Foreign guests must show a valid passport and visa.
5. Guest Responsibility & Conduct Guests are expected to maintain proper conduct and follow hotel rules and policies. Damages or loss caused to hotel property will be charged to the guest.
Self Driving Car
1. I/We shall be responsible for any damage occurring to the vehicle while in its my/our possession. Charges for the car damages would be:
Small Car – ₹50,000/-
Sedan – ₹80,000/-
SUV – ₹1,00,000/-
(Depending on the valuation of the car)
2. In case of Technical / Mechanical or any kind of issues with the vehicle I/We must inform the Agency about the same, as the Agency will follow up and take actions immediately if the vehicle issues couldn’t be solved, then the Agency may provide a replacement vehicle with no additional charges.
(Other than Burnt Clutch / Burst & Flat Tyres / Accidental Damage).
3. I’m 18 or above years of age and hold a valid Driving License and any fine charged in case of violation of traffic rules (any E-Challan) on the mentioned vehicle in between the mentioned booking period of time will be paid by me.
4. If I return the vehicle in dirty condition like Pan Masala Spit Marks over the vehicle / Cigarette Buds inside the vehicle, then I/We need to pay for cleaning charges as per Agency cleaning charges.
5. Under no circumstances I/We will be provided any refund on Extra Fuel remaining in the vehicle & pending balance in the Fastag as it is my/our responsibility and the Agency is not responsible for any compensation for it to me/us.
6. I/We have submitted my/our VOTER / DRIVING Licence (Original Document) in custody to the above-mentioned Agency for security purposes and I will be fully responsible for any cause of Accidental Damages or Theft or Any Misuse of the vehicle in between mentioned booking period of time. I have physically checked and kept a video of the vehicle’s condition and will return in the same condition.
7. Any cancellation made within 24 hours before the commencement of the rental period shall attract a cancellation on fees equivalent to 50% of the base fare. The remaining 50% will be refunded.
8. Any delay in drop-off beyond 30 minutes of the scheduled will incur a standard tariff along with a penalty of INR 200 per hour.
9. Kilometer distance Unlimited, but not more than 300 km for a 24-hour booking.
10. If I/We try to cheat with the Agency by providing fake documents or involve in any kind of Criminal Activity in the vehicle then the Agency may take legal actions against Me/Us and cancel the booking and no refund will be made.
11. If I/We are caught in any criminal activity and the police seize the vehicle, we will pay the agency the rent for all the days the vehicle remains at the police station.
And if there is an accident, and the vehicle takes time to be repaired, we will also pay the rent for all the days the vehicle remains idle during the repair period.
